Terms and Conditions & Privacy Policy :
1. Definitions
Photographer: Karl Jones Photography.
Client: The individual or organization requesting photography services.
Event: The date, time, and location of the event as described in the booking.
Images/Photographs: All photographic material produced by the Photographer during the event.
2. Booking and Deposit
To secure the Photographer’s services, the Client must pay a non-refundable deposit of 25% of the total agreed fee. The booking is not confirmed until the deposit is received.
The remaining balance must be paid no later than 30 days prior to the event date unless otherwise agreed in writing.
3. Cancellation and Rescheduling
If the Client cancels the event more than 30 days before the event, only the deposit will be forfeited.
If the Client cancels within 14 days of the event, the full amount is due.
Rescheduling may be accommodated at the Photographer’s discretion, provided the new date is available. If the new date is unavailable, the booking will be treated as a cancellation.
The Photographer reserves the right to terminate the contract due to unforeseen circumstances such as illness, emergency, or other causes beyond control. In such cases, the Photographer will attempt to find a replacement photographer or refund all payments made.
4. Working Hours and Overtime
The Photographer’s service hours are based on the agreed package, typically starting from the scheduled event time.
Overtime will be charged at £65.00 per hour beyond the agreed service time, payable on the day of the event.
5. Client Responsibilities
The Client is responsible for providing the Photographer with a schedule of events and any special requirements in advance.
The Client must ensure that the Photographer has access to all areas of the event venue necessary to fulfill the contract.
The Photographer is not responsible for any shots missed due to interference by other guests or obstructions beyond the Photographer's control.
6. Image Rights and Usage
The Photographer retains copyright and ownership of all images created during the event.
The Client is granted a non-exclusive, perpetual license to use the images for personal or internal purposes. Commercial use, selling, or transferring the images to third parties is prohibited unless explicitly agreed upon.
The Photographer may use the images for self-promotion, portfolio, website, or social media, unless otherwise agreed in writing with the Client.
7. Delivery of Images
Edited digital images will be delivered within 4 weeks of the event.
The Photographer will provide a minimum of 10 edited images in high-resolution digital format, which will be shared via digital transfer.
Any requests for additional retouching or editing may incur extra fees at a rate of £10.00 per image.
8. Limitations of Liability
The Photographer will take all reasonable steps to ensure images are captured according to the Client’s expectations but is not responsible for missed images due to unforeseen circumstances (e.g., weather, equipment failure).
The Photographer’s liability for any claim, loss, damage, or injury resulting from services provided is limited to the fees paid by the Client.
The Photographer is not liable for any delays in delivery caused by unforeseen events such as illness, emergencies, or technical issues.
9. Force Majeure
The Photographer is not responsible for any failure or delay in performance if such failure or delay is due to causes beyond reasonable control, including but not limited to strikes, war, natural disasters, or government orders.
10. Payment and Late Fees
Full payment of the remaining balance is required by the date specified in the contract.
Late payments may incur an interest fee of 10% per month of the overdue amount.
All payments are to be made via bank transfer.
11. Event Modifications
The Client must notify the Photographer of any changes to the event schedule, location, or other important details. The Photographer reserves the right to modify services or fees accordingly if the changes result in increased workload or time requirements.
12. Privacy and Confidentiality
The Photographer agrees to respect the privacy of the Client and will not share or distribute private information related to the event beyond what is necessary for the provision of services.
Any non-disclosure agreements (NDAs) should be discussed and agreed upon prior to the event.
13. Model Release (Optional)
By hiring the Photographer, the Client grants permission to photograph all individuals present at the event. It is the responsibility of the Client to ensure that any attendees who do not wish to be photographed are made known to the Photographer prior to the event.
14. Amendments
Any amendments to these terms and conditions must be agreed upon in writing by both parties.

Data protection is of a particularly high priority for Karl Jones Photography. The use of the Karl Jones Photography website is possible without any indication of personal data; however, if a data subject wants to use special enterprise services via our website, processing of personal data could become necessary. If the processing of personal data is necessary and there is no statutory basis for such processing, we generally obtain consent from the data subject.
The processing of personal data, such as the name, address, e-mail address, or telephone number of a data subject shall always be in line with the General Data Protection Regulation (GDPR), and in accordance with the country-specific data protection regulations applicable to Karl Jones Photography (United Kingdom). By means of this data protection declaration, our enterprise would like to inform the general public of the nature, scope, and purpose of the personal data we collect, use and process. Furthermore, data subjects are informed, by means of this data protection declaration, of the rights to which they are entitled.
As the controller, Karl Jones Photography has implemented numerous technical and organizational measures to ensure the most complete protection of personal data processed through this website. However, Internet-based data transmissions may in principle have security gaps, so absolute protection may not be guaranteed. For this reason, every data subject is free to transfer personal data to us via alternative means, e.g. by telephone.
